While we would all love to be in person and turn Texas green and blue, National Convention 2021 will take place virtually on June 26th and June 27th 2021. Again, our main concern is the safety of our collegians and alumnae, as well as our partners. The planning committee addressed a few questions on Saturday, March 6th and provides this memo as a summary of what was discussed.

Registration: Just as many businesses and other corporations have moved their operations virtually, we are doing the same. Unfortunately, there is only so much free software we are able to utilize. Hosting an event or meeting virtually does still have a cost. Unfortunately, we still have financial obligations to existing contracts and will need to fulfill those. This includes paying cancellation fees or not receiving a refund for what we have already paid for. Despite the financial obligations, we are still issuing a partial refund to registered attendees for the cost difference for virtual registration. For example, someone who paid $275 would be reimbursed $75, since virtual registration is $200.

  • Software costs: The virtual convention will be presented via a combination of software, including Zoom, Wonder.Me, and GuideBook.
  • Registration Incentives: By registering for the National Convention, you will have opportunities to network with other members, receive promotional items from the swag bag, and more!
  • Shipping Costs: To ensure our convention provides members with a similar experience to in-person, we will be mailing a few things to registered attendees. This cost is also included with registration fees. We expect this to be around $20 per person
  • Convention Schedule: Our schedule is condensed into a shorter period of time. We will not be meeting all day. It is further explained in the Convention Packet, see attached.

Existing Registrations Refund: Requests from already registered attendees, for in-person attendance, are eligible to receive a 50% refund of your original payment. Refund requests must be received by 4/11 to the link listed above.

New Virtual Registrations Refund/Cancellation Requests: If you register for convention as a new attendee, the following refund schedule will apply. Similarly to existing registrations, refund requests are also due 4/11 to the link listed above. Cancellation requests received within the listed time frame of registration:

  • 24 Hours of registration submitted: 75%
  • 7-30 days after registration submitted: 50%
  • More than 30 days after registration submitted: 25%
